Digitalization Initiative | RWTH Aachen University Hospital


Task

In April 2025, the RWTH Aachen University Hospital (UKA) decided to fully digitize the requisition process for materials and services. The goal was to map the fully digitized process in SAP. In addition to the comprehensive expansion of the digital requisition process, the central task was to thoroughly document the new digital applications and workflows. The objective was to structure the processes in such a way that employees could easily learn them and to create a transparent, traceable knowledge base for their day-to-day work.

Solution & Result

To replace the previous manual documentation process, various solutions were evaluated in advance. datango Creator clearly emerged as the winner. The deciding factors were its intuitive user interface, the high speed of content creation, and the excellent quality of the SCORM export for deployment in the ILIAS Learning Management System (LMS). Content is created directly by UKA subject matter experts. Following a structured rollout plan, content production was launched as a priority.

To ensure the highest possible quality of content, the team of authors follows the dual-review principle. Before the content is finally published, it undergoes an internal review and approval process within the team. The finished learning content is then distributed centrally and exclusively via ILIAS. Given the project’s success, the UKA is already exploring a company-wide rollout of datango Creator to other business units. As a technological complement, the introduction of datango Live! is planned to offer employees direct in-app guidance and online help within the live system. To increase inclusivity and ensure the accessibility of the content, the implementation of a text-to-speech interface (ReadSpeaker) is also underway.
